What Guestcount is
What is Guestcount?
Guestcount is guest-list and invitation software for event organizers. Each event gets a branded RSVP page, invite links for the partners and people who bring guests, approvals, a capacity and waitlist, texts and emails to guests, and check-in at the door, all on one live guest list. Every guest stays on your contact list, so the next event starts from who came to the last one.
Who is Guestcount for?
Organizers who run invited events: brand and experiential teams, agencies, venues and nightlife, corporate and client events, conference side events, golf tournaments and private events. It fits best when more than one person brings guests, someone has to approve the list, and a door has to check names.
Is Guestcount a ticketing marketplace?
No. Guestcount is for running invitations and guest lists; it is not an event-discovery or ticketing marketplace. You can still sell tickets to your own events, through your own Stripe account.
Do guests need an app or an account?
No. Guests RSVP on the event page and confirm with a code sent to their phone. They can add the event to their calendar, and they can sign in at guestcount.me to see the events they have RSVPed to and, unless you lock changes, change their RSVP and plus-ones.
Pricing
How much does Guestcount cost?
Building an event page is free, and you pay when you publish. A single event is the Essential Event at $249 or the Growth Event at $499. Monthly and annual plans (Essential, Growth, and Brand) start at $299 a month, billed monthly or annually, and include a set number of events. See pricing.
What do the monthly and annual plans add?
On the Essential, Growth, and Brand plans, each guest is one contact across all your events, with their attendance, show rate and consent to future invitations. The Brand plan adds your own domain for RSVP pages and a dedicated number for two-way texting. See pricing for what each plan includes.
RSVP pages
Can the RSVP page match our brand?
Yes. Every event gets an RSVP page built from blocks on a theme you pick. Set your colors and fonts, add your flyer and images, add blocks such as lineup, FAQ, gallery, map and hosts, and ask your own questions on the RSVP form. See custom RSVP pages.
Can I control who can RSVP?
Yes. Make the page public, put it behind a passcode, approve every guest who comes through, or only let guests on your invite list RSVP. If you allow it, people who aren't on the list can ask to join, and you decide. Set a capacity, and with the waitlist turned on, replies past it queue up for you to promote as spots open.
Can RSVP pages run on our own domain?
Yes, on the Brand plan. Use a subdomain such as yourbrand.guestcount.com, or a domain you own, such as rsvp.yourbrand.com. For your own domain you add two DNS records, and Guestcount handles verification and SSL.
Can I put the RSVP form on my own website?
Yes. Embed the RSVP form on your own website, and guests RSVP there with the same branding, questions and confirmations. Our team sets the embed up with you, so talk to us about your site.
Can I remove the Guestcount branding?
Not on the standard plans: hosted RSVP pages carry a small "Powered by Guestcount" line in the footer, even on your own domain. If an event has to run entirely under your brand, talk to us.
Invite links and partners
What is an invite link?
An invite link is a link to your event that you give to one partner, person or channel. Each link has its own number of RSVPs it allows, its own plus-one allowance, and, if you want, its own approval step. Every RSVP is credited to the link it came through. See event invitations.
What is a partner in Guestcount?
A partner is a company or crew in your contact book, such as a sponsor, an agency, a venue or an artist's team. A partner can hold invite links across your events, and it gets the credit for the guests who come through them. A link can also belong to one person, or to nobody.
Can I see which partner brought the most guests?
Yes. RSVPs, approvals and check-ins are credited per invite link and per partner, so you can see who actually brought people through the door, not just who put names down. See Guest Intelligence.
Door check-in
How does door check-in work?
Door staff search by name or phone number, scan a guest's QR code, or add a walk-up, on the iOS app, a shared phone or the dashboard. Every device works from the same live list your team is editing, and a mistaken check-in can be undone. In the iOS app, check-ins made on a poor connection are kept and retried. See the door check-in checklist.
Do door staff need an account or a paid seat?
No. Door staff sign in with their phone number and a one-time code, with no seat or PIN, and they never see full phone numbers. You decide who may add walk-ups, and taking that away works immediately.
Can Guestcount print name badges?
Yes. Name badges print from the door on Brother label printers.
Texts and emails
Can I text and email my guests?
Yes. Send texts and emails from the event to guests chosen by RSVP status or label. You see how many people a message will reach before you send it, and delivery is tracked per person. Guests who RSVP themselves with a verified phone number get a confirmation text once they are confirmed, and guests can reply STOP to opt out of texts.
Can guests reply to my texts?
Yes, with a dedicated number with two-way texting, which comes with the Brand plan.
Selling tickets
Can I sell tickets with Guestcount?
Yes. Once our team turns ticket sales on for your account, connect your own Stripe account and set a ticket price for the event, and guests pay for each place on the RSVP page itself. Each event has one ticket price. Check-in works the same on a ticketed event.
Where does the ticket money go?
To your own Stripe account. Guestcount takes nothing out of the payment; its per-ticket fee is invoiced to you separately, and you can talk to us about the rate.
Why do I need my own purchase terms to sell tickets?
Because guests are buying from you, not from Guestcount. A paid event can't be published until your Stripe account can take payments and you have added your own purchase terms, as a link to your terms page or as the terms themselves. Guestcount's purchase terms page explains what the platform does.
Can I offer discount codes or free entry?
Yes. Create discount codes, each taking a percentage or a fixed amount off, with a use limit and an end date, and see who used each code. You can also give an invite link its own ticket terms, either a discount or free entry, for everyone who comes through it.
Your data
Who owns the guest data?
You are the independent controller of the contacts you collect, and you decide how to use them. Guestcount does not share phone numbers with marketers and does not sell guest data, and your contacts are isolated from every other organizer's. See data and security.
Can I import and export my guest list?
Yes. Bring in your existing contacts, and you are responsible for having the consent needed to message them. On paid plans, account admins can export your contact book to CSV. Exported phone numbers show only the last four digits.
How is guest data protected?
Traffic is encrypted over HTTPS, and door staff never see full phone numbers. See how we protect your data.
Integrations
What does Guestcount integrate with?
Stripe, for selling tickets through your own account. An MCP connector for AI agents, which reads event information and aggregate guest counts and, where your organization has write access turned on, creates and edits event drafts; a person still approves publishing. CSV import and export for your contacts and guest lists, calendar entries for guests, your own domain on the Brand plan, and an RSVP form you can embed on your own site. See agent-powered events.
Does Guestcount sync with Salesforce or HubSpot?
No. Guestcount keeps its own contact record for every guest, with RSVPs and arrivals recorded as they happen, and exports to CSV when another system needs a copy. See event CRM.
How Guestcount compares
How does Guestcount compare with Zkipster, Splash, Luma and Partiful?
Guestcount is built for invited events where partners bring guests and a door checks names: approvals, plus-one allowances per guest and per link, credit per partner, and door staff who sign in by phone. Each comparison is side by side, with sources: Zkipster, Splash, Gatsby, RSVPify, Luma, Partiful and Evite.
What is the best guest list software?
It depends on the event. For invited events, look for approvals, plus-one rules, door check-in and guest history. Our roundups compare the main options, with who each one suits: the best guest list software and the best event check-in apps.
