Event Marketing

Event marketing, measured by who walks in

Event marketing usually gets measured by clicks and RSVPs. The number that matters is who actually shows up, and which message, link or partner got them there.

Guestcount runs the whole loop in one place: a branded RSVP page, invite links for every channel, SMS and email to the guest list, automated confirmations and arrival texts, and reporting that follows each channel from the first click to the door.

A page that looks like your event

The RSVP page is the first thing a guest sees, so it should look like your brand, not like a form builder. Every paid plan includes every theme, with your flyer, colors and type, and pages work on any phone.

Share it with branded short links that carry your UTM parameters through, so your own analytics still see the campaign.

SMS and email to everyone, or a slice

Send a message to the whole guest list or narrow it first. You see an estimated recipient count before you send; guests who opted out of texts are left out when it goes. Target by:

  • RSVP status: going, maybe, declined, or still pending.
  • Check-in: who arrived, and who said yes and didn't.
  • Labels, such as VIP or press.
  • Specific people you pick by hand.

Email reports delivered, opened, clicked and bounced per recipient, SMS reports delivery, and both show the RSVPs a message brought in.

Automated messages that run themselves

Set these up once per event and they send on their own, by email or SMS. Each can be paused, and each can be limited to a label:

  • Invite: goes to guests you add, including anyone added after the first send.
  • Confirmation: sent the moment someone RSVPs.
  • Arrival info: a day or two before the event, with the details guests need at the door.
  • Thank you: after the event, while it's still fresh.

The confirmation, one arrival reminder, and approval updates are free by text on every plan when sent as plain text.

Know which channel filled the room

Give every channel its own invite link: each partner, each agency, each post, each email and each text. Guestcount counts clicks, RSVPs, approvals and check-ins per link, so you compare channels by turnout, not by traffic.

After the event, analytics show fill rate, show rate against your average, the arrival curve, and a breakdown of who didn't show: first-timers, returning guests, or people who confirmed late.

Consent handled for you

Marketing to guests means respecting their choices. A STOP reply blocks promotional texts from your brand, an email unsubscribe always wins, and marketing email is opt-in for guests in the EU and UK. Guestcount enforces this on every send, so a message never reaches someone who opted out.

Frequently asked questions

What's the best way to send automated arrival texts for an event?

Use a tool that texts guests a day or two before the event with arrival details and sends a confirmation as soon as they RSVP. Guestcount does both automatically, and on every plan the confirmation and one arrival reminder are free by text.

Which event platforms let you text and email guests from one list?

Guestcount sends SMS and email from the same guest list, targeted by RSVP status, check-in, labels or specific people, with an estimated recipient count before you send and delivery tracked per person.

How do I measure which marketing channel drove attendance?

Give each channel its own invite link and compare check-ins, not clicks. Guestcount reports clicks, RSVPs, approvals and check-ins per link, including links used in email and SMS.

How much does it cost to text event guests?

On Guestcount texting uses credits, where one credit covers one SMS segment. The confirmation, one arrival reminder, and approval updates are free as plain text. Credits cost 5 cents each, sold in packs.

Is event SMS marketing compliant?

It has to be. Guestcount records SMS consent per brand, honors STOP on promotional texts, and makes marketing email opt-in for guests in the EU and UK.

Guestcount is the CRM for IRL: an end-to-end guest management platform for events, from branded RSVP pages through day-of check-in and post-event reporting. Pricing starts at $249 for a single event.
